A Portfolio is a group of related responsibilities. The Interweave Continental Board can approve any individual to take responsibility for, or manage, one or more Portfolios. Each portfolio manager makes regular reports to the full Board about the status of that Portfolio. Each Portfolio manager is responsible for ensuring that the responsibilities in their Portfolio are carried out, but does not have to do everything themselves; they may also recruit others to carry out those responsibilities. This document describes the responsibilities in each Portfolio, including those assigned in the Bylaws.
President
Responsibilities in Bylaws
- Preside at or appoint a moderator for meetings of the Board and/or sessions of the Annual Meeting at Convo.
- Perform the usual duties of the office of President and such other duties as the Board may designate.
- Make committee appointments with the advice of the Board, and serve as an ex-officio member of such committees or assign such duties to another member of the Board.

Additional Duties
- Arrange and set agenda for Board meetings.
- Provide oversight and supervision for IC activities.
Vice-President
Responsibilities in Bylaws
- Perform such duties as the President and the Board may designate.
- In the event of the absence or disability of the President, the Vice-President shall perform the duties of the office of the President as long as the absence or disability continues until the expiration of the President’s regularly held term.

Additional Duties
- Chair the Long Range Planning Committee (we hope this person is looking towards the future, possibly considering presidency at some point). The Long Range Planning Committee will:
- work with constituencies to develop mission/vision statements
- develop long-range goals for IC
- work with Treasurer and Finance Committee to develop a financial plan for accomplishment of long-range goals
- facilitate the review and setting of yearly goals for the Board and organization
Secretary
Responsibilities in Bylaws
- Perform the usual duties of the office of Secretary and any special duties prescribed by law and these bylaws.
- Send a full report of the official results of any board or Annual Meeting at Convo votes to all Board members within fourteen (14) days of the vote.
- Give due notice of meetings of the Board, sessions of the Annual Meeting at Convo, or proposed amendments to the bylaws, and the slate for nominations for office not less than thirty (30) days before such meetings and/or session are scheduled to be held. A postmark shall be accepted as complying with the required date of notification.
- Prepare the election ballot as provided elsewhere herein, and report to the Annual Meeting at Convo all election results.

Additional duties
- Summarize Board actions for distribution to the larger membership through our communications outlets (newsletter, listserv, etc.)
- Provide official communications for the Board.
- Serve as one of two listmanagers for the interweave-b listserve.
- Liaisons and works with webmaster.
Communications

Additional duties
- Develop standing Communications Committee
- With Communications Committee, review and recommend to the Board policies and procedures related to communication.
- Oversee the various communications media of Interweave:
- Newsletter
- PR releases
- Communication with individuals
- Communication with chapters
- Use of Interweave-d
- Website
- liaison with the UU World magazine re: ads and other communication
- liaison with the UUA in general for all congregation mailings, etc.
- Serve as one of two listmanagers for interweave-b list-serve.
Treasurer
Responsibilities in Bylaws
- Have charge of all funds of the organization.
- Receive all moneys due and payable to the organization, make disbursements as directed by the Board, and otherwise transact the fiscal business of the organization.
- Present a year-to-date report and a budget proposal for the upcoming fiscal year to the membership and the Board at the Annual Meeting at Convo; submit a complete annual report to the membership, including a statement of general expenses, receipts and balances, and invested funds; 30 days after the close of the fiscal year, to be printed in the next issue of the Interweave newsletter published; and make other reports as requested by the President of the Board.

Chapter Liaison

- Recommend policies and procedures related to chapters to the Board and membership
- Monitor the relationship among chapters and IC, through questionnaires or other means
- Establish contact people in chapters and unaffiliated congregations to improve database
- Help to create new chapters based on grassroots interest
- Create and recommend innovations to increase participation of existing and new groups in IC
Convocation & General Assembly
Convocation (Convo)

Additional duties
- Provide liaison between Board and local planning committee
- Serve as a resource to the local planning committee
- In consultation with Convo Task Force, study Convo to review the format, the division of labor between IC and local sponsor, and what changes may need to be made

General Assembly

Additional duties
- Coordinate (chair?) Sermon Contest Committee, ensuring that
- all sermons are acknowledged,
- members receive sermons and make a timely decision on Sermon Award
- service is coordinated
- Coordinate with local Interweave chapter or Welcoming Congregation to plan Interweave dinner
- Coordinate Interweave booth, soliciting volunteers and providing materials
- Coordinate workshops
- Communicate with Mark DeWolfe Award Committee (or Board) to determine recipient
Internal Advocacy

Additional duties
- Maintain contact with UUA, especially liaison with OBGLTC, advocating for a voice for BGLT people in decision-making and services
- Assist individuals, congregations and district with advocacy within their institutions for BGLT people and issues
- Look for issues/sponsors for possible SAIs, AIWs at GA
- Development of position papers for Board/Membership consideration
Diversity, Anti-Oppression, Coalition-Building

Additional duties
- Establish a working group on diversity
- Determine Where IC is Underrepresented: Consider geography, gender (including transgender), age, race, culture, class, and disability
- Review policies, procedures, and unwritten norms of Interweave for unintentional bias and recommend corrective policies and procedures to the Board and membership
- Maintain liaison with LINC
- With working group, develop and implement plan for reaching out to underrepresented groups
Leadership Development

- Develop plan to maximize potential volunteer pool for IC activities
- Locate willing volunteers to help on specific projects
- Develop and maintain a “skills” directory available from the pool of willing volunteers

- Who is authorized to take positions on issues under what circumstances?
- Chapters – who is authorized to vote on behalf of chapters? how many votes? etc. (working with Chapters person/working group)
- Privacy concerns related to listserv and database
- How the Board functions: consensus, voting, listserv voting

External Advocacy

- With appropriate input throughout IC, determine goals for advancing our issues in the larger society.

- Maintain liaison with appropriate other groups, especially religious groups working on BGLT issues
Joint Board Responsibilities
Responsibilities in Bylaws
- The Board shall hold regular meetings between sessions of the Annual Meeting at Convo, at such time and place as it shall determine.
- The Board shall convene its meetings in person, by conference call, by e-mail, or by such other methods of communication as it shall determine….
- Special meetings of the Board may be called by the President and shall be called upon written request of four Board members.
- A quorum of the Board is seven (7) Board members or 60% of the Board, whichever is less.
- Discussion and votes that may take place at a Board meeting may be held by voting in person, mail, e-mail, telephone, or other communication mode.
- The Board shall carry out directives of the Annual Meeting at Convo.
- The Board shall develop the total program for Interweave Continental consistent with the actions of the Annual Meeting at Convo.
- It shall establish such committees as are necessary for recommending, implementing, and evaluating the program
- It shall provide services to help chapters develop and carry out their own programs
- It shall develop ways to help increase among the membership the skills required to carry positions of responsibility.
- It shall encourage geographic and special interest associations of chapters and members to serve their mutual interests.
- It shall foster cooperation with the UUA and related organizations at all levels, including local, district, and continental.
- It shall publish such materials as may be necessary to carry out the program and further the purpose of the organization being mindful of the need for confidentiality of some members of Interweave Continental
- It may initiate associations with other organizations between Annual Meeting at Convos, and shall bring all associations with other organizations to the Annual Meeting at Convo for ratification, in accordance with provisions elsewhere herein.
- The Board shall manage the business and administrative affairs of the organization.
- It shall set the amount of membership dues.
- It shall make provision for the maintenance and operations of an office.
- It shall determine the time and place of sessions of the Annual Meeting at Convo.
- It shall designate the banking institutions in which funds of the organization shall be deposited and determine who shall be authorized to make withdrawals.
- It shall arrange for bonding of such officers, employees, and other personnel as it may designate, in such amount or amounts and with such surety or sureties as it may determine.
- It shall determine policies with reference to the payment of expenses of officers and Board members, other volunteers, and staff in carrying out official assignments.
- It shall establish such committees, as it deems necessary to carry out and evaluate the details of the administrative affairs of the organization.
- It shall maintain a manual of Policies and Procedures, which shall be binding on volunteers and staff. It shall review this manual from time to time and make such alterations as are deemed advisable.
- In the event of the temporary absence or disability of an officer or member of the Board, as determined by the Board, it shall designate another of its members to perform those duties as long as the absence or disability continues until the expiration of the officer’s or member’s regular term of office.
- The Board shall develop the total program for Interweave Continental consistent with the actions of the Annual Meeting at Convo.
- The Board shall entertain for discussion any policy concern presented in writing, formulated and signed by ten (10) or more members representing three (3) or more congregations, societies, or chapters.
- Vacancies on the Board are filled by selection and vote of the Board though it’s a little hard to know when there is a vacancy when there are "up to" 12 members, according to our Bylaws. This is required to fill the minimum 6 members of the board. This can also be done to fill Officer portfolios, or to add people to the Board who fill significant gaps in the Board's set of knowledge and skills.
Responsibilities in the Standard Operating Procedures
- The Board meets in person the day after Convo (February), at UUA General Assembly (June), and usually for a weekend retreat. The board meets by conference call the first Sunday of each month at 8:00pm Eastern US time. Board members are expected to attend board meetings and conference calls.
- The Board selects the Convo site, following site selection criteria in the Standard Operating Procedures.
